Managing KYDSO administrator accesses

Administrator access is required for certain activities in KYDSO.

You can order this for both internal and external employees and also terminate it again.

Notice

If an employee leaves the company, any existing KYDSO administrator access is automatically terminated.

You can request a KYDSO administrator access in the Order menu.

The selection of the action depends on whether a person import has already taken place for your KYDSO system or not:

  • If no personal data has been imported yet, select the Order without personal assignment action. In this case, you have the option of ordering a KYDSO administrator access for several employees in one process.

  • As soon as a person import has taken place, you must apply for a KYDSO administrator access using the Order for another person action.

The wizard for the selected action starts and guides you through the process.

  1. Framework data

    The values Customer Costcenter and Customer Location must be entered in the Costcenter and Location fields, otherwise the KYDSO administrator access cannot be ordered.

  2. Article selection

    Search for the article KYDSO administrator access and select it.

    If you would like to order the administrator access for several persons, click Select article again until the desired number of administrator accesses is in the article list.

  3. Additional data

    Enter the requested information about the person who is to receive administrator access.

    Pay particular attention to the correct entry of the User Principal Name, as this is used to log in to the system.

  4. In the last step, check your entries again and trigger the order.

Once you have triggered the order, a temporary person object is created for the administrator in KYDSO and the KYDSO administrator access is set up.

As soon as the Active Directory account with the entered user principal name is transferred to KYDSO during the setup of KYDSO, the KYDSO administrator access is automatically transferred to the associated person and the temporary person object is deleted.

If you have ordered the KYDSO administrator access with an incorrect user principal name, you must delete the temporary person object manually: Delete person

  1. Framework data

    In the Service recipient field, select the person who is to receive KYDSO administrator access.

    The Costcenter and Location fields are pre-filled with the values that are stored for the person.

  2. Article selection

    Search for the article KYDSO administrator access and select it.

  3. No additional information is required.

  4. In the last step, check your entries again and trigger the order.

After you have triggered the order, the KYDSO administrator access is automatically set up for the selected person.

You can terminate a KYDSO administrator account that is no longer required.

How to terminate a KYDSO administrator account:
  1. Click on the Termination action in the Terminate menu.

    The asset list opens. For performance reasons, this is empty the first time it is opened after starting KYDSO.

  2. Search for the article KYDSO administrator access. You can further restrict the list of results by entering the name of the person who no longer requires administrator access in the Service recipient field, for example.

  3. Click Termination on the KYDSO administrator access for the desired person (service recipient).

    A page opens with an overview of the order.

After you have triggered the order, the KYDSO administrator access of the desired persons is revoked.

When ordering a KYDSO administrator access without personal assignment, the user principal name with which the person logs on to the system is entered and a temporary person object is created.

As soon as the Active Directory account with the entered user principal name is transferred to KYDSO during the setup of KYDSO, the KYDSO administrator access is automatically transferred to the associated person and the temporary person object is deleted.

If you have ordered the KYDSO administrator access with an incorrect user principal name, you must delete the temporary person object manually.

To delete a temporarily created person object:
  1. Click on the Delete persons action in the Change menu.

    If this is not displayed in the menu, click on Other changes and select the action there.

    The list of persons opens. For performance reasons, this is empty the first time it is opened after starting KYDSO.

  2. Search for the desired persons.

    Persons who were created when a KYDSO administrator account was ordered have the work center type Unknown.

  3. Click on Select person for change at the desired person.

    A page opens with an overview of the order.

Once you have triggered the change, the temporary person object and the associated KYDSO administrator access are permanently deleted.
